Job Summary:

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our Legal Department. As a key member of our team, you will provide administrative support to our legal team, ensuring the smooth operation of our business.

Key Responsibilities:

  • Assist with corporate filings, regulatory filings, and license renewals, including tracking and updating report/license requirements, calendaring due dates, and working with internal and external clients to draft and finalize filings.
  • Support staff with special projects, including opening, maintaining, and closing files upon completion of projects.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Stay up-to-date on changes in relevant laws and regulations and provide guidance to staff as needed.
  • Independently respond to routine correspondence and draft correspondence as assigned.
  • Learn and utilize company systems to perform administrative tasks.
  • Perform a range of administrative and clerical duties, including drafting and preparing correspondence, forms, reports, summaries, and other communications.
  • Process expense reports, invoices, and other accounting items as necessary.
  • Receive, date-stamp, review, and file/distribute mail, email, and faxes daily, and organize, respond, and/or calendar accordingly.
  • Communicate effectively with internal and external stakeholders, including regulators, vendors, and customers.
  • Assist with problem or complaint resolutions in a timely and professional manner.
  • Log, compile information, and statistics to support the department.
  • Make travel arrangements and schedule appointments for staff as requested.
  • Support staff in maintaining top-level internal and external customer relationships.
  • Assist with filing and organization of department records, including maintaining filing systems and both hardcopy and electronic files.
  • Answer the phone in a professional and courteous manner and provide general information.

Requirements:

  • Bachelor's degree in a related field, such as business administration or legal studies, or equivalent experience.
  • 2+ years of experience in a law office, department, or insurance agency environment, with a focus on administrative support, compliance, and regulatory affairs.
  • Strong knowledge of organizational structures and functions, as well as Microsoft Office, including Word, Outlook, and Excel.
  • Excellent written and oral communication skills, with the ability to exercise tact and good judgment when handling confidential information.
  • Ability to prioritize and plan work activities, use time efficiently, and set goals and objectives.
  • Comfortable working in a fast-paced environment with minimal supervision and able to adapt to changing priorities.

Preferred Qualifications:

  • Legal background, including experience in a law firm or as a paralegal.
  • Notary Public certification or ability to become certified within 6 months.

This is a remote, work-from-home position that requires a high level of independence and self-motivation. The ideal candidate will be able to work effectively in a virtual environment and have excellent communication and organizational skills.
