The successful candidate will also be responsible for compiling investigative documentation for the investigative team and generating monthly and quarterly reports related to building activities.

This role encompasses the preparation and distribution of opening and closing letters to both complainants and contractors, as well as managing complaints related to workmanship, financial disputes, and industry regulations. Strong organizational and time-management skills are crucial for success in this position.


Key Responsibilities Include:
  • Drafting, typing, and disseminating meeting notes, routine correspondence, and reports.
  • Welcoming visitors and callers, addressing inquiries, and directing calls as necessary.
  • Managing incoming mail and other communications, including responding to standard letters.
  • Initiating and concluding complaints against licensed and unlicensed contractors.
  • Preparing and sending opening and closing letters to relevant parties.
  • Compiling investigative files for the investigative team.
  • Locating and attaching relevant files to incoming correspondence requiring responses.
  • Processing fingerprints and maintaining associated records.
  • Assisting with background checks, complaint evaluations, and preparing analytical spreadsheets on various cases.
  • Generating reports for submission to relevant authorities.
  • Maintaining and distributing departmental reports, including complaint aging and investigator reports.
  • Supporting the preparation of disciplinary documents and scheduling hearings.
  • Creating meeting agendas and gathering necessary documentation.
  • Managing office supplies and equipment inventory.
  • Utilizing office equipment such as fax machines, copiers, and phone systems, and employing computers for various applications.
  • Overseeing the supervisor's calendar and independently arranging appointments.
  • Coordinating travel plans and itineraries, compiling documents for travel-related meetings, and processing expense reports.
  • Handling license verifications and complaint-history requests.
  • Maintaining records in compliance with legal requirements.
  • Performing additional duties as assigned.
