Job Overview

POSITION SUMMARY:

This role is an hourly position that reports directly to the Controller. The Accounts Receivable function encompasses the complete cycle of receivables, from processing payments to addressing overdue accounts.

KEY RESPONSIBILITIES:

  • Conducts daily collection outreach to clients.
  • Analyzes the Aging Report to identify accounts that require attention.
  • Handles daily invoicing, ensuring accuracy in pricing and case counts on sales orders.
  • Manages special billing requests for customers or intercompany transactions.
  • Generates and applies credit memos upon receipt of approved documentation.
  • Investigates customer deductions related to pricing discrepancies, shortages, and sales discounts.
  • Enters new customer information into the system as necessary.
  • Follows up with clients to obtain supporting documentation for deductions.
  • Updates management with a weekly report on cash collections.
  • Researches Return Merchandise Authorizations (RMAs) and issues credit memos as needed.
  • Evaluates new customer applications for credit approval and places accounts on hold if overdue.
  • Collaborates with the Sales team to resolve customer issues regarding overdue accounts, product shortages, and payment discrepancies.
  • Records journal entries and accruals on a monthly basis.
  • Processes daily remote cash deposits.
  • Prepares daily postings to the Accounts Receivable subledger and compiles daily cash register for review.
  • Provides backup support for Accounts Payable in inventory invoice data entry.
  • Assists with cash receipt postings.
  • Facilitates EDI interface for customers as requested.
  • Supports month-end closing activities.
  • Assists with annual financial reviews and various audits throughout the year.
  • Performs other related duties as assigned.

QUALIFICATIONS:

ESSENTIAL:

  • 3-5 years of relevant experience.
  • Fundamental understanding of accounting principles and practices.
  • Highly organized, detail-oriented, and self-driven.
  • Excellent verbal and written communication skills.
  • Team-oriented individual willing to be cross-trained in Accounts Payable and Customer Service.
  • Proficient in PC operating systems and office software, including MS Office Suite, Word, Excel, Teams, and Ross/Aptean.

PREFERRED:

  • Familiarity with general manufacturing environments and practices.
  • Strong business acumen.
