This role is vital for assisting various workstreams linked to our Central Document Management (CDM) team. The ideal candidate will collaborate closely with other CDM team members, as well as with Network Enablement and other departments involved in document management workflows. Key responsibilities include supporting documentation indexing, retention, and a variety of data entry tasks.

The candidate will also be tasked with accessing relevant patient information and aiding in the sorting and processing of incoming mail to ensure timely distribution across departments while maintaining organizational efficiency. Additionally, the candidate will be responsible for managing outgoing mail as required by CDM workflows. This position is crucial for ensuring the smooth processing of documentation workflows within CDM operations while upholding accuracy and compliance with daily SLAs, metrics, and PHI & HIPAA regulations.

Primary Responsibilities:

  • Manage all incoming mail in accordance with standard CDM workflows, including sorting, scanning, indexing, and directing to appropriate departments or workflow paths.
  • Oversee outgoing mail workflows and requests as necessary within CDM processes, ensuring compliance with PHI and HIPAA standards.
  • Execute various data entry tasks aligned with CDM workflows.
  • Support all documentation retention requirements.
  • Assist with general administrative duties as needed.
  • Accurately handle Payment Card Industry (PCI) data and assist with PCI annual audit requirements when necessary.
  • Help resolve issues for all projects and programs supported by the team.
  • Fulfill CDM-specific workflow responsibilities as assigned, meeting all required SLAs, client needs, and performance guarantees.
  • Review process documentation for all assigned products and workflows, acknowledging comprehension and providing feedback.
  • Build positive relationships with peers and business partners to enhance engagement and productivity.
  • Learn to operate new production equipment and software, taking on new responsibilities as business demands evolve.
  • Perform other duties and responsibilities as required.

  • Has technical skills and knowledge of software used for document indexing and storage, along with basic proficiency in Microsoft tools.
  • Exhibits excellent time management skills to prioritize tasks and manage time effectively to meet deadlines.
  • Possesses basic problem-solving skills to identify and resolve issues in the mailroom and document indexing processes.
  • Demonstrates excellent customer service skills to assist internal and external customers with mail and document-related inquiries.

Required Qualifications:

  • 1+ years of administrative and/or data entry experience.
  • 1+ years of experience in scanning, printing, shipping, or other mailroom-related tasks.
  • Demonstrated entry-level skills in using document management software and mailroom equipment, with the ability to learn new tools and equipment.
  • Ability to thrive in a fast-paced environment and manage multiple priorities.
  • Proven organizational skills with a keen attention to detail.
  • Demonstrated accuracy in data entry.
  • Entry-level skills with Windows PC applications, with the ability to learn new computer systems.
  • Ability to lift a minimum of 50 pounds.

Preferred Qualifications:

  • 2+ years of administrative and/or data entry experience.
  • Proven knowledge/experience with high-capacity scanning.
  • Experience with short-term and long-term records storage and management.
  • Familiarity with pharmacy/medical terminology.
  • Proficiency in Microsoft Programs.
