Job Overview
If you possess a cheerful demeanor and enjoy engaging with clients, this role is tailored for you. The successful candidate will be responsible for managing phone communications and welcoming visitors with a friendly attitude while supporting management with various tasks.

This role demands expertise in Microsoft Office applications, including Outlook, PowerPoint, Excel, and Word, along with the capacity to learn and adapt to additional ERP systems utilized by the organization.

All roles are classified as safety sensitive. A safety sensitive position is defined as any role where performing duties under the influence of substances may pose a risk to health or safety.

The salary for this position is set at $19.00 per hour.

Key Responsibilities:

  • Manage and direct incoming phone calls
  • Welcome and assist visitors to the office
  • Serve as the primary contact for both internal and external clients
  • Collaborate with other office staff to address requests and inquiries from senior management
  • Provide information by responding to questions and requests
  • Organize and schedule complex activities such as meetings, travel, conferences, and departmental events
  • Maintain and update contact lists
  • Prepare and distribute correspondence, including memos, letters, faxes, and forms
  • Assist in compiling regularly scheduled reports
  • Conduct research and create presentations
  • Plan meetings and document detailed minutes
  • Take dictation as needed
  • Arrange travel logistics
  • Support bookkeeping tasks, which may involve reconciling documents and expense reports
  • Ensure equipment functionality by performing preventive maintenance and coordinating repairs
  • Manage office supply inventory by monitoring stock levels and placing orders
  • Contribute to team objectives by achieving related results
  • Perform administrative tasks such as filing, typing, copying, and scanning
  • Maintain both digital and physical filing systems
  • Handle sensitive information with confidentiality
  • Sort and distribute incoming mail
  • Work independently and collaboratively on special projects
  • Act as project manager for unique initiatives, which may include planning employee events and creating promotional materials
  • Manage multiple projects simultaneously
  • Fulfill additional tasks as assigned to support the organization's goals and mission.
