Key Responsibilities

  • Executive Support:
    • Oversee and manage the CEO's intricate calendar, including organizing meetings, appointments, and travel logistics.
    • Prepare and coordinate materials for meetings, such as agendas, presentations, and minutes.
    • Handle incoming communications, including calls and emails, prioritizing urgent issues and directing inquiries appropriately.
    • Conduct research and gather information as requested by the CEO.
    • Manage expense documentation and reimbursements.
  • Operational Support:
    • Provide administrative assistance to various business units as required, including project management, data entry, and report preparation.
    • Assist in the creation of financial reports and presentations.
    • Coordinate and oversee cross-departmental projects and initiatives.
    • Act as a liaison with internal and external stakeholders to ensure effective communication and collaboration.
  • Office Management:
    • Supervise general office functions, including the management of supplies, equipment, and facilities.
    • Arrange travel plans, accommodations, and itineraries for the CEO and other executives.
    • Maintain confidential files and documentation.

Qualifications

  • Bachelor's degree or equivalent professional experience.
  • A minimum of 2 years of experience in an Executive Assistant role or similar position.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently as well as collaboratively within a team.
  • High level of discretion and capability to handle confidential information.

Preferred Qualifications

  • Experience in a fast-paced, dynamic work environment.
  • Familiarity with industry-specific software or tools.
  • Experience collaborating with remote teams.
