Job Summary

Omega Morgan is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. The successful candidate will provide administrative support to our project managers, ensuring the smooth operation of our office environment.

Key Responsibilities:

  • Provide administrative support to project managers, including data entry, invoicing, and correspondence with subcontractors and vendors.
  • Coordinate project information, including creating project folders, purchase orders, and change orders.
  • Correspond with subcontractors and vendors, and coordinate invoicing and payments.
  • Enter and maintain client and prospect data in our automated system.
  • Answer and direct phone calls, and take messages for appropriate parties.
  • Verify insurance certificates and ensure proper coverage is in place.
  • Prepare agendas for meetings and make arrangements, such as coordinating catering for luncheons.
  • Perform general administrative duties, including filing, photocopying, and managing schedules.

Requirements:

  • High School Diploma, GED or equivalent.
  • 1-2 years of experience providing administrative support, preferably in the A/E/C industry.
  • Knowledge of administrative and clerical procedures and systems, including word processing, email, spreadsheets, and managing files and records.
  • Proficient in MS Office.
  • General basic knowledge of and ability to learn project management software, such as Wright Plan and other related programs and systems.
