Job Summary

We are seeking a highly skilled and organized Executive Administrative Assistant to provide exceptional support to our Executive Director. The successful candidate will serve as the primary point of contact for internal and external constituencies, handling a wide range of administrative tasks with discretion and professionalism.

Key Responsibilities
  • Manage the Executive Director's electronic appointment schedule, planning and scheduling meetings, conferences, trainings, and special events.
  • Interact with diverse groups of external callers and visitors, as well as internal contacts at all levels of the organization.
  • Provide administrative support to the Board of Directors, including recording meeting minutes, preparing resolutions and meeting notices, and maintaining rosters and board files.
  • Schedule and prepare board orientations, retreats, and other events.
  • Manage the Executive Director's travel and professional budget.
  • Maintain confidentiality and protect operations by keeping sensitive information confidential.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the Executive Director.
  • Prepare a variety of documents, including correspondence, memos, charts, tables, graphs, and drafts.
Requirements
  • Bachelor's degree in business administration or related field, or Associate's degree with three to four years of experience.
  • Previous experience working with a governing board preferred.
  • Experience with parliamentary rules a plus.
  • Ability to document identity and employment eligibility within three days of original appointment.
  • A valid driver's license and current automobile insurance.
Working Conditions

This position is performed in a typical office environment with minimal exposure to dirt and dust and occasional exposure to outdoor temperatures.

Physical Demands

The employee frequently exhibits manual dexterity when working on the computer and frequently talks and hears when working with job contacts.

Knowledge, Skills, and Abilities
  • Knowledge of standard office practices and procedures, secretarial science, English word usage, spelling, sentence structure, and punctuation.
  • Ability to understand and follow general instructions, exhibit a pleasant public manner and telephone etiquette, work independently, demonstrate initiative, coordinate multiple activities and tasks, originate correspondence, maintain accurate and complete work records, develop and maintain effective working relationships with supervisors, associates, and the general public, and maintain confidential and sensitive information.
  • Skill in verbal and written communication, operating standard office equipment, application of Microsoft Office software and other job-related software, customer service, preparing written reports, filing documents in alphabetical, numerical, chronological, and subject order, and production typing.
