Position Overview

The Public Programs Coordinator plays a vital role within the Creativity and Learning Department, overseeing all facets of public programming initiatives. This position involves a blend of administrative duties and logistical coordination for various events.

Key Responsibilities
  • Assist the Director of Creativity and Learning in strategizing, organizing, and implementing diverse public programs and live events.
  • Manage all administrative tasks related to public programming, including:
    • Engaging with presenters to clarify program details, timelines, and expectations.
    • Drafting, sending, and managing contracts with presenters, ensuring timely payments.
    • Arranging travel and accommodations for presenters traveling from outside the area.
    • Setting up ticketing systems on the organization’s website and monitoring ticket sales.
    • Collecting biographies and headshots of presenters for promotional purposes.
    • Coordinating with other departments to fulfill programmatic needs.
    • Creating detailed run-of-show documents for each event and distributing them to relevant staff.
  • Develop and manage technical requirements and production plans for each program, including assisting with presenter media and facilitating sound checks.
  • Collaborate with the Director of Creativity and Learning to coordinate contract labor and staffing needs for public programs.
  • Prepare and set up signage for events, as well as manage the presentation space before and after each program.
  • Oversee will-call lists and ticketing for events, providing support during programs.
  • Participate in weekly departmental meetings, providing updates on production and logistics.
  • Assist with other departmental needs related to live programming as required.
Qualifications
  • A minimum of 3 years of experience in administration, cultural institutions, public programming, or related fields.
  • At least 1 year of experience in a production environment.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong interpersonal skills with the ability to communicate effectively.
  • Proficient in prioritizing tasks, managing time, and multitasking in a dynamic environment.
  • Self-motivated with creative problem-solving abilities.
  • High level of computer proficiency, particularly in Google and MS Office applications.
  • Ability to work collaboratively and maintain professionalism in a creative setting.
  • Willingness to work evenings and weekends as necessary to support public programs.
