The Public Programs Coordinator plays a crucial role within the Creativity and Learning Department, overseeing the comprehensive coordination of our Public Programs. This includes managing administrative tasks, technical requirements, and logistical arrangements for events. Reporting directly to the Director of Creativity and Learning, the Coordinator will work collaboratively to curate a variety of engaging Public Programs, including talks, performances, and musical events. Flexibility in scheduling is essential, as evening and weekend work will be required.
Key Responsibilities- Assist the Director of Creativity and Learning in the strategic planning and execution of all Public Programs and live events.
- Manage all administrative aspects related to Public Programs, including:
- Facilitating communication with presenters regarding program details, timelines, and expectations.
- Preparing, sending, and managing contracts with presenters, ensuring timely processing of payments.
- Coordinating travel and accommodation arrangements for presenters visiting from outside the area.
- Setting up ticketing systems on the SITE SANTA FE website and monitoring ticket sales.
- Gathering biographies and headshots of presenters for promotional materials.
- Collaborating with other departments to meet program needs, such as facilities management.
- Creating detailed run-of-show documents for each program and distributing information to relevant staff.
- Coordinate technical requirements and production plans for each program, including assisting with media presentations and conducting sound checks as necessary.
- Work alongside the Director of Creativity and Learning to arrange contract labor and staffing needs for Public Programs.
- Prepare and display signage for events, and manage the setup and breakdown of presentation spaces.
- Oversee the will-call list and ticket management for events, providing on-site support during Public Programs.
- Participate in weekly departmental meetings, offering production updates and insights.
- Assist with additional tasks related to Public Programs as required.
- Support other departments with logistical needs for live programming, including special events and membership activities.
- A minimum of 3 years of experience in administration, public programming, or related fields.
- At least 1 year of experience in a production environment.
- Exceptional organizational skills and meticulous attention to detail.
- Strong interpersonal communication abilities.
- Proficient in prioritizing tasks and managing time effectively in a dynamic environment.
- Self-motivated with a creative approach to problem-solving.
- High proficiency in computer applications, including Google Workspace and Microsoft Office.
- Ability to collaborate effectively with colleagues while maintaining professionalism in a creative setting.
- Willingness to work evenings and weekends as necessary to support public programs and events.
- Commitment to diversity, equity, inclusion, and accessibility in all aspects of work.
