Job Overview

A reputable Hearing Healthcare organization is seeking a dynamic and proactive individual to oversee front office operations and exemplify our commitment to exceptional patient care.

Key Responsibilities:

  • Develops and maintains an efficient patient scheduling system by effectively managing incoming and outgoing calls to secure appropriate appointments.

    • Ensures that patients receive outstanding service through timely and respectful interactions throughout their visit.

    • Implements the appointment reminder system with pre-calls 48 hours before scheduled visits.

    • Manages a multi-line phone system while demonstrating a courteous and professional demeanor, addressing caller needs or directing them to the right personnel.

    • Registers new patients and updates existing records by gathering comprehensive patient information, including personal, insurance, and financial details.

    • Facilitates patient flow by informing providers of patient arrivals, monitoring delays, and communicating effectively with both patients and clinical staff.

    • Addresses inquiries from patients, prospective patients, and visitors in a friendly and professional manner.

    • Welcomes patients upon arrival, checks them in, and collects any necessary information to enhance their experience.

    • Distributes intake and new patient forms along with copies of office policies and legally required documents in advance via email.

    • Processes patient payments for co-pays and uninsured visits as needed.

    • Contacts existing patients to promote new products and services.

    • Applies training and development to meet key performance indicators, including attendance rates, cancellation/no-show rates, and appointment conversion rates.

    • Utilizes objection-handling techniques to address patient concerns effectively.

    • Engages in continuous training and development through regular meetings and occasional educational sessions.

    • Responsible for maintaining a clean and organized reception area.

    • Upholds patient confidentiality in accordance with HIPAA regulations and organizational policies.

Qualifications:

  • High School Diploma required; Associate's degree preferred.
  • Minimum of 2 years of experience in a front office role.
  • Proficient in Microsoft Office Suite.
  • Ability to work independently with strong attention to detail and organizational skills.
