Position Summary
Boutin Jones is in search of a personable, detail-oriented, and seasoned Corporate Legal Support Specialist. This pivotal role involves providing direct assistance to attorneys, ensuring the smooth operation of legal processes. Candidates should possess a high school diploma and a minimum of five years of relevant experience, including at least three years as a corporate or transactional secretary or paralegal within a legal setting. Proficiency in computer skills is essential, meeting the office's standards for accuracy and efficiency. Exceptional spelling, grammar, and punctuation are required, along with basic mathematical skills and report management capabilities. While completion of two years of college or vocational training is advantageous, it is not mandatory. The ideal candidate will exhibit a collaborative spirit, demonstrate effective communication skills, and represent the firm with professionalism and efficiency.


Compensation and Benefits

  • Hourly wage ranging from $32.00 to $38.00 based on experience

Work Schedule

  • Monday to Friday, with hours from 8:00 am to 5:00 pm or 8:30 am to 5:30 pm
  • This position requires full-time in-office attendance

Key Responsibilities

  • Perform a variety of secretarial and clerical tasks
  • Manage daily mail processing
  • Handle incoming calls for attorneys and paralegals
  • Draft and respond to email communications
  • Prepare routine correspondence and documents for attorney approval
  • Coordinate appointments and events
  • Welcome clients upon arrival and offer refreshments
  • Maintain electronic calendars for attorneys
  • Record attorneys' billable hours electronically
  • Arrange travel, accommodations, and continuing education for attorneys
  • Familiarity with legal libraries and court filing procedures
  • Conduct conflicts checks for new and existing clients
  • Prepare and file documents with various administrative agencies
  • Create and maintain organized files and records
  • Complete additional duties as assigned

Qualifications

  • High school diploma; completion of two years of college or vocational training preferred
  • Minimum of five years of experience, with three years in a corporate or transactional legal role
  • Exceptional spelling, grammar, and punctuation skills
  • Proficient in basic office equipment and technology
  • Familiarity with Microsoft Excel, Word, and Outlook at a beginner to intermediate level
  • Ability to lift up to 30 lbs.
