Role Description
Boutin Jones is in search of a personable, diligent, and experienced Corporate/Transactional Legal Secretary. This role is essential in providing direct support to our attorneys. Candidates should possess a high school diploma and a minimum of five years of relevant experience, including at least three years as a corporate/transactional secretary or paralegal in a legal setting. Proficiency in computer skills is necessary to meet the office's standards for accuracy and efficiency. Exceptional spelling, grammar, and punctuation are required, along with basic mathematical skills and report management capabilities. While completion of two years of college or vocational training is advantageous, it is not mandatory. The ideal candidate will demonstrate a collaborative spirit, effective communication skills, and a professional demeanor.

Work Schedule

  • Monday – Friday, with options for 8:00 am to 5:00 pm or 8:30 am to 5:30 pm.
  • This position is entirely office-based.

Key Responsibilities

  • Perform a variety of secretarial and clerical tasks.
  • Manage daily mail processing.
  • Handle incoming calls for attorneys and paralegals.
  • Draft and respond to email communications.
  • Prepare routine correspondence and documents for attorney approval.
  • Schedule appointments and manage events.
  • Welcome clients upon arrival and offer refreshments.
  • Maintain electronic calendars for attorneys.
  • Record attorneys' billable hours electronically.
  • Coordinate travel arrangements, hotel bookings, and continuing education registrations.
  • Familiarity with law libraries and court filing procedures.
  • Conduct conflicts checks for potential and existing clients.
  • Prepare and file documents with various administrative agencies.
  • Draft and edit complex documents in Word and Excel, including indices and tables of contents.
  • Open new client matters in accordance with firm protocols.
  • Organize and maintain files, records, and reports as needed.
  • Perform additional duties as required.

Qualifications

  • High School Diploma; completion of two years of college or vocational training preferred.
  • 5+ years of experience, with three years in a corporate/transactional legal setting.
  • Exceptional spelling, grammar, and punctuation skills.
  • Familiarity with basic office equipment (copiers, scanners, printers, phones).
  • Proficient in Microsoft Excel, Word, and Outlook at a beginning to intermediate level.
  • Ability to lift up to 30 lbs.
