Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Center for Elders Independence. The successful candidate will provide exceptional customer service, administrative support, and operational coordination to ensure the smooth functioning of our Adult Day Health Center.

Key Responsibilities
  • Front Desk Operations: Greet visitors and participants, coordinate break and lunch schedules, and ensure the front desk phone is answered at all times.
  • Customer Service: Provide excellent customer service to callers, resolve problems, and direct callers to the appropriate staff member.
  • Administrative Support: Complete daily, weekly, and monthly reports, spreadsheets, and other administrative tasks as assigned.
  • Communication: Handle transportation department radio dispatch, route communication effectively, and utilize transportation software to answer questions related to transportation routes and timing.
  • Record Keeping: Monitor and complete daily participant attendance records, ensure all visiting staff and visitors sign in and sign out, and issue visitor badges.
  • Supply Management: Maintain a current inventory of office supplies, requisition replacements, and ensure adequate supply at all times.
  • Equipment Maintenance: Troubleshoot problems with copying and other equipment, and call the appropriate resource for repairs as needed.
  • Confidentiality: Maintain the confidentiality of all company procedures, results, and information about participants or families.
  • Teamwork: Participate in Fire drills or other emergency preparedness situations, and assume duties as assigned by the Center Director, Incident Commander, or designee.
Requirements
  • Education: High School diploma, GED, or equivalent.
  • Experience: Two years previous experience as a receptionist and/or administrative assistant with excellent verbal and written communication skills.
  • Skills: Courteous and professional telephone skills, customer service skills, and the ability to function independently.
  • Software Proficiency: Accurate typing and strong knowledge of word processing and spreadsheet software such as MS Word, Excel, and Microsoft Exchange.
  • Interpersonal Skills: Excellent interpersonal skills, including initiative and flexibility with work demands.
