Job Description

**The Hume Center's Human Resources Generalist Role**

The Human Resources Generalist supports the administration of human resources at The Hume Center, a mid-sized nonprofit mental health agency serving Contra Costa and Alameda Counties. This dynamic position plays a crucial role in promoting employee satisfaction and supporting the organizational culture that enables our talented licensed and unlicensed providers to deliver exceptional services.

**Key Responsibilities:**

  • Supports the administration of human resources, including employment/labor law, healthcare law, and professional training regulations.
  • Coordinates company benefits, including PTO, health, dental, vision, 401 K, short-term disability, long-term disability, and worker's compensation.
  • Coordinates open enrollment process and implements and annually updates compensation program.
  • Works with managers and supervisors to ensure accurate and up-to-date job descriptions.
  • Conducts salary surveys and analyzes compensation.
  • Actively supports recruitment efforts for all workforce positions.
  • Supports employee trainings on HR policies, benefits, etc.
  • Records and maintains all employee information, including personal data, compensation, benefits, attendance, performance reviews or evaluations, disciplinary actions, and terminations/separations of employment.
  • Onboards and offboards staff, ensuring TB Test, physicals, live scans, and clearance checks are performed.
  • Processes requests for leave, workers comp, and accommodations.
  • Oversees human resources website portal for staff and keeps it up to date.
  • Maintains company organizational charts and employee directory.
  • Assists with necessary Human Resource related audits.
  • Participates in meetings as needed.
  • Ensures timely submission of timesheets, mileage reimbursement requests, and volunteer reimbursement requests from staff to Finance.
  • Organizes and prints recruitment materials.
  • Prepares team members for recruitment fairs with all materials needed; attends and supports as needed.
  • Conducts monthly OIG, SAM, and Medi-Cal checks on all Hume providers.
  • Coordinates with Finance regarding pay errors or changes in pay.
  • Supports staff development through training by coordinating trainings, preparing materials for trainings, and tracking training completion for required trainings.
  • Supports Finance with salary information and research and supplying or creating job descriptions for budgets, grants, and proposals.
  • Tracks and reports on staff demographics for the Development Department.
  • Ensures staff are informed of the Grievance Procedure.

**Trainee Responsibilities:**

  • Keeps a Master Trainee Recruitment Spreadsheet updated with FTEs per program and position type for proposed positions and with trainees who have accepted positions.
  • Monitors the recruitment timeline and keeps the Training Team and other relevant positions informed.
  • Sends announcements of openings to listservs, graduate schools, and other recruitment platforms.
  • Reviews and screens applicant applications through APPIC, CAPIC, and BAPIC.
  • Schedules interviews, prepares all materials and surveys, and conducts feedback process.
  • Sends out No Offer Letters and Offer Letters and tracks acceptance.
  • Creates Letters of Understanding for all trainees.
  • Coordinates all school contracts completion, signing, and submission.
  • Coordinates and records keeping of all School and Hume Center Performance Evaluations.
  • Tracks Paid Time Off (PTO) for all trainees.
  • Tracks accrued training hours being collected by Trainees.
  • Coordinates and schedules an onboarding orientation prior to the Training Year.
  • Coordinates agency events by sending invitations, managing RSVPs, and supporting the planning and administration of the events in collaboration with the Event Coordinator.
  • Maintains Trainee files.
  • Coordinates the process of any Change of Assignments.
  • Tracks contact information for alumni and provides support to alumni activities.

**Requirements:**

  • Meet with Supervisor on a weekly basis for individual supervision.
  • Participate and/or present in relevant meetings based on assigned area of work scope.
  • Demonstrate an understanding of The Hume Center's Philosophy, Organizational Culture, and Organizational Channels of Communication through practicing an enabling model of working together.
  • Attend other required meetings.
  • Performs other job-related duties as assigned by the Supervisor, Director, Vice-President, and/or CEO.
