Overview

The success of any project hinges on meticulous planning and execution. As a Project Controls Analyst, you will be accountable for overseeing project metrics, including budget, timeline, and resource allocation, as well as ensuring effective workflow, documentation, and communication.

Your Role

In this position, you will support Project Managers by employing cost control methodologies and tools to effectively plan and manage project expenses and timelines, while also identifying and mitigating potential risks that could affect project outcomes. You will be expected to maintain quality and document control standards throughout the project lifecycle.

Key Responsibilities
  • Gain a comprehensive understanding of project scope;
  • Engage actively in the creation of project estimates, proposals, budgets, and schedules;
  • Collaborate closely with project teams to ensure an accurate and up-to-date understanding of project status, challenges, and modifications;
  • Facilitate effective communication with internal team members, leadership, financial managers, external clients, and consultants;
  • Generate clear, timely, and actionable reports;
  • Remain vigilant and keep the project team informed of any obstacles to maintaining budget and schedule;
  • Coordinate with the financial team to issue timely project invoices, follow up on accounts receivable, and monitor consultant budgets and agreements;
  • Understand and enhance project control processes and systems.

Project Management Support
  • Assist Project Managers in adhering to company and industry standards, including participation in audits;
  • Organize, attend, and document project meetings, tracking action items and deliverables;
  • Create and maintain project plans, schedules, and deliverables;
  • Manage subconsultant agreements, insurance, invoicing, and prequalification checks;
  • Coordinate and compile specifications and reports, ensuring quality and adherence to client standards.

Financial Management Support
  • Develop financial forecasts with detailed documentation and risk assessments;
  • Create tailored cost control and tracking reports or dashboards;
  • Conduct financial performance analysis and scenario planning for gross margin and risk;
  • Prepare earned value or financial reports for clients.

Document Control Support
  • Establish and manage project SharePoint sites;
  • Schedule quality reviews and oversight sessions;
  • Package submissions and track deliverables;
  • Manage logs for RFIs, submittals, correspondence, and documents;
  • Utilize tools for task assignments and reminders.

Proposal and Business Leadership Support
  • Prepare financial and utilization reports and notify leadership of trends;
  • Collaborate with finance teams to monitor budget variances;
  • Assist with revenue forecasts and budgeting;
  • Engage in various team and office committees.

Qualifications
  • Proficiency in MS Office, particularly advanced Excel skills;
  • Exceptional written and verbal communication skills;
  • Ability to manage multiple projects, prioritize tasks, and make timely decisions;
  • Experience in the A/E industry is preferred;
  • Prior experience in project controls or as a project assistant is advantageous;
  • Familiarity with financial/cost systems and scheduling software is a plus.

Education and Experience

• Bachelor's degree required, preferably in finance, business, engineering, or a related field, with relevant coursework in project management, accounting, or finance.

• Minimum of 3 years of experience in project and program management.

• 2-5 years of experience in financial analysis, cost management, and project controls throughout the project lifecycle.
