Overview

The success of any project hinges on effective planning and execution. As a Project Controls Analyst, you will oversee essential project metrics, including budget, timeline, and resource allocation, while ensuring smooth workflow, thorough documentation, and clear communication. This role is pivotal in supporting Project Managers by utilizing cost control methodologies and tools to effectively plan and manage project finances and schedules, while also addressing potential risks that could affect project outcomes, all while adhering to quality control and documentation standards.

Your Role

As a vital member of the Project Management team, the Project Controls Analyst delivers financial analysis support, accurate tracking of commitments and expenditures, performance metrics, timely budget forecasts, and proactive advice to assist Project Management in meeting financial objectives. This position requires collaboration with various project teams and interaction with internal stakeholders, including leadership, financial managers, design teams, as well as external clients and consultants.

Key Responsibilities
  • Gain a comprehensive understanding of project scope;
  • Engage in the development of project estimates, proposals, budgets, and timelines;
  • Collaborate closely with project teams to maintain an up-to-date and accurate view of project status, challenges, and modifications;
  • Facilitate effective communication with internal team members, leadership, financial managers, external clients, and consultants;
  • Generate clear, timely, and actionable reports;
  • Remain vigilant and keep the project team informed of any obstacles that may hinder budget and schedule adherence;
  • Coordinate with Stantec's financial team to ensure timely project invoicing, follow up on accounts receivable, and monitor consultant budgets and agreements;
  • Optimize project controls processes and systems.

Project Management Support
  • Assist Project Managers in adhering to Stantec and ISO standards and practice frameworks, including participation in audits;
  • Organize, attend, and document project meetings, tracking action items and deliverables;
  • Create and maintain project plans, schedules, and deliverables;
  • Manage subconsultant agreements, insurance, invoicing, and prequalification checks;
  • Coordinate and compile specifications and reports, ensuring quality and adherence to client standards.

Financial Management Support
  • Develop financial forecasts with detailed supporting documentation and risk assessments;
  • Create tailored cost control and tracking reports or dashboards (Power BI, SharePoint);
  • Conduct project financial performance analysis and scenario planning for gross margin and risk assessment;
  • Prepare client earned value or financial reports.

Document Control Support
  • Establish and manage project SharePoint sites;
  • Schedule quality reviews and independent oversight (e.g., Bluebeam studio sessions);
  • Package submissions and track deliverables;
  • Manage RFI logs, submittal logs, correspondence logs, document registers, and drawings lists;
  • Utilize tools such as Planner and Power Automate for task assignments and automated reminders.

Proposal and Business Leadership Support
  • Prepare weekly, monthly, and quarterly financial and utilization reports, notifying leadership of trends and anomalies;
  • Collaborate with finance teams and leadership to monitor variances against project budgets;
  • Assist with periodic revenue forecasts and budgeting;
  • Support and/or participate in various team and office committees.

Capabilities and Credentials
  • Proficient in MS Office, with advanced skills in MS Excel;
  • Excellent written and verbal communication skills;
  • Demonstrated ability to manage multiple tasks and projects simultaneously, prioritize effectively, and make timely decisions;
  • Experience in the A/E industry is preferred;
  • Prior experience in project controls or project assistance roles is advantageous;
  • Familiarity with financial/cost systems (Oracle, Prolog, etc.) is preferred; experience with scheduling software (Primavera, Microsoft Project, etc.) is a plus.

Education and Experience

• Bachelor's degree required, preferably in finance, business, engineering, or a related field, with a minimum of 1 year of relevant coursework in project management, accounting, finance, or business.

• Minimum of 3 years of experience in project and program management.

• 2-5 years of experience in financial analysis, cost management, and other project controls functions throughout the project lifecycle.
