Interim Conference Services Coordinator

As an Interim Conference Services Coordinator, you will report directly to the Director of Event Services. Your primary responsibilities will encompass a range of essential functions, including but not limited to the following:
Key Responsibilities:
1. Deliver consistently professional, warm, and engaging service to all clients.
2. Verify all event-related details with clients to ensure clarity and satisfaction.
3. Build and maintain strong relationships with clients before, during, and after events to foster repeat business.
4. Manage convention bookings from the initial reservation to the final departure, addressing meeting needs, guest room allocations, food and beverage arrangements, and audio-visual requirements.
5. Develop comprehensive floor plans for each event, ensuring alignment between banquet services and client expectations prior to setup.
6. Initiate billing processes, ensuring all deposits and credit applications are completed accurately and timely.
7. Conduct pre-conference meetings with clients and relevant departments to confirm all essential details are communicated effectively.
8. Participate in daily meetings to review event contracts and relay any last-minute changes to the appropriate teams.
9. Adhere to departmental policies and procedures, as well as all safety regulations.
10. Perform additional duties as assigned.
Compensation:
Salary range is between $84,000 and $114,000 USD annually.
Qualifications:
- Proven leadership experience in a similar capacity is essential.
- Proficiency in Microsoft Windows applications is required.
- A degree from a university or college in a related field is preferred.
- Exceptional communication skills, both written and verbal, are necessary.
- Strong interpersonal skills and problem-solving abilities are crucial.
- Must demonstrate high levels of responsibility and reliability.
- Ability to maintain focus on guest needs while remaining calm and courteous at all times.
