Job Overview

We are seeking a dedicated Surgical Case Coordinator and Scheduler responsible for overseeing the entire surgical process. This includes managing pre-authorizations, pre-operative certifications, scheduling surgeries, educating patients, and handling all related post-operative responsibilities. The ideal candidate will possess a minimum of 5 years of experience in surgical scheduling and clinical authorizations.

Key Responsibilities

Authorization Management

  • Supervise and secure surgery authorizations.
  • Monitor the authorization workflow closely.
  • Engage with insurance providers for pre-certifications.
  • Submit all necessary documentation to third-party payers ahead of surgery dates.
  • Manage authorizations for clinical assessments and diagnostic tests.
  • Provide surgeons and billing departments with updates regarding authorizations, denials, or appeals.
  • Facilitate peer-to-peer discussions as required.

Scheduling Duties

  • Coordinate all surgical bookings with external facilities and manage any changes.
  • Ensure all procedures are accurately entered into the computerized scheduling system.
  • Promptly inform physicians, patients, and other stakeholders of any changes or cancellations.
  • Oversee pre-operative clearance orders and ensure all necessary documentation is reviewed prior to surgery.
  • Communicate essential pre-operative information and instructions to patients clearly and timely.
  • Prepare surgical documentation efficiently and ensure submission to relevant parties.
  • Provide regular confirmations and updates regarding upcoming surgeries.
  • Monitor schedules for potential conflicts with other surgeries or clinic appointments.
  • Collaborate with specialty surgeons for joint procedures.
  • Collect operative reports from facilities and distribute accordingly.
  • Send post-operative documentation to Billing and Coding departments.

Independent Medical Evaluations (IME)

  • Organize and manage Independent Medical Evaluations.
  • Communicate with relevant parties regarding IME coordination.

Additional Responsibilities

  • Coordinate meetings or presentations with medical product vendors as directed.
  • Maintain comprehensive knowledge of all practice areas and functions.
  • Perform any other duties necessary to enhance patient care.

Required Skills

  • Experience in a medical office setting and familiarity with the healthcare industry.
  • Proven track record in customer service and teamwork.
  • Exceptional communication and organizational abilities.
  • Ability to interact effectively with patients, providers, and third-party payers.
  • Strong computer proficiency, particularly in Microsoft Office applications.
