POSITION OVERVIEW:

Under the supervision of the Patient Financial Services Director, the Financial Counselor plays a crucial role in ensuring patients have a seamless financial experience. This position involves guiding patients through the complexities of insurance benefits and potential financial responsibilities. The Financial Counselor serves as the primary contact for patients seeking financial assistance and is responsible for various tasks including payment collection, establishing payment plans, and providing estimates.

KEY RESPONSIBILITIES:

1. Act as the main contact for inquiries related to financial assistance.

2. Engage with patients to gather and comprehend their financial, social, and medical backgrounds.

3. Collect all necessary information to process financial assistance applications, collaborating with healthcare providers on treatment plans and relevant medical opinions.

4. Maintain detailed records of all communications and follow-ups in the Electronic Medical Record (EMR) system, ensuring patients receive written confirmations regarding payment arrangements.

5. Evaluate patients' financial situations by verifying insurance benefits and acting as the expert in confirming coverage and reimbursement processes.

6. Assess patients' ability to pay and clarify insurance coverage and benefits.

7. Initiate financial screening to determine eligibility for assistance programs.

8. Support patients in completing financial documents and gathering necessary financial evidence.

9. Facilitate referrals for patients identified as having financial risks.

10. Determine eligibility for care by assessing patients' qualifications for various assistance programs.

11. Propose payment alternatives, including prepayment options for elective procedures and applications for financial assistance programs.

12. Identify suitable financial assistance programs and aid in completing required documentation.

13. Collaborate with providers to assess the urgency of care for patients facing significant financial liabilities.

14. Communicate the payment policy to patients when assistance programs are unavailable.

15. Calculate and explain patient liabilities prior to or at the time of service.

16. Counsel patients on out-of-pocket expenses and collect necessary payments while adhering to established collection protocols.

17. If acceptable payment arrangements cannot be established for elective procedures, notify the relevant parties regarding rescheduling or cancellation.

18. Communicate financial coverage statuses and decisions with patients, families, and healthcare providers.

19. Manage self-pay accounts, initiate collection processes when necessary, and communicate account statuses to patients.

20. Engage in educational opportunities to stay informed about changes in the healthcare sector.

21. Foster effective teamwork and collaboration to achieve departmental goals.

22. Uphold a professional and respectful environment for all patients, families, and colleagues.

23. Participate in community engagement activities and clinic events as required.

24. Perform additional duties as assigned.

EDUCATION AND EXPERIENCE:

1. High School Diploma or GED is required.

2. An Associate degree is preferred.

3. A minimum of two years of experience in healthcare revenue cycle management is preferred.

4. Proven experience in delivering high-quality customer service.

5. Strong organizational and time management skills, along with excellent verbal and written communication abilities.

6. A collaborative team player.

7. Quick learner with the ability to build and maintain long-term relationships while working independently.

8. Proficient in computer skills.

9. High attention to detail, flexibility, and the ability to prioritize effectively in a team environment.

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Understanding of medical billing and collection practices.
  2. Familiarity with computer applications.
  3. Knowledge of business office procedures.
  4. Basic understanding of medical coding and third-party operations.
  5. Ability to operate computers and standard office equipment.
  6. Skill in providing pleasant and helpful telephone support.
  7. Ability to comprehend and follow both verbal and written instructions.
  8. Capability to establish and maintain effective working relationships with patients and colleagues.
  9. Well-organized and detail-oriented.

ADDITIONAL QUALIFICATIONS:

  1. Bilingual skills (Spanish/English) are preferred.

REPORTING STRUCTURE:

  1. Reports to the Patient Financial Services Supervisor.

PHYSICAL DEMANDS:

  1. Ability to sit, stand, and view a computer screen for extended periods.
  2. Capability to perform repetitive hand and wrist motions for prolonged durations.
