Billing Coordinator

M.C. Dean, Inc. is seeking a skilled Billing Coordinator to join our finance team. As a key member of our team, you will be responsible for preparing and issuing invoices, ensuring accurate billing records, and providing support for the billing operations.
Key Responsibilities:- Invoice Preparation and Processing: Generate and distribute invoices to clients accurately and in a timely manner. Verify billing data, ensuring all necessary information is complete and accurate. Apply payments to customer accounts and update records accordingly.
- Data Entry and Record Keeping: Enter billing information into the accounting system, maintaining up-to-date and accurate records. File and organize billing documents for easy retrieval and audit purposes. Maintain detailed records of invoices, payments, and account statuses.
- Customer Support: Respond to customer inquiries regarding billing issues, providing prompt and courteous service. Resolve billing discrepancies by working with customers and internal departments. Assist customers with payment processing and account inquiries.
- Reporting and Reconciliation: Assist in preparing billing reports for management review. Reconcile billing accounts to ensure accuracy and completeness. Monitor and follow up on outstanding invoices to ensure timely payments.
- Compliance and Process Improvement: Ensure compliance with company billing policies and procedures. Suggest improvements to billing processes to enhance efficiency and accuracy. Stay updated on industry best practices and changes in billing regulations.
- Education: High school diploma or equivalent required with 1-2 years of experience; Associate's degree in Accounting, Finance, or related field preferred.
- Experience: Previous experience in billing, invoicing, or accounts receivable preferred. Basic understanding of accounting principles and practices.
- Skills: Proficient in Microsoft Office Suite, particularly Excel, and familiar with accounting software (e.g., QuickBooks, Sage). Strong attention to detail and accuracy in data entry and record keeping. Excellent organizational and time management skills. Effective communication and customer service skills. Ability to work independently and as part of a team.
