Senior Lease Management Specialist

We are seeking a qualified individual to become a vital part of our Shared Services team, concentrating on the oversight of our lease portfolio. The selected candidate will be responsible for liaising with property owners, external lease management service providers, and our Real Estate & Legal departments. The ideal applicant will possess the capability and assurance to effectively engage with a diverse array of stakeholders, both internal and external, to ensure the protection of our leased assets. Previous experience in lease management is highly advantageous.

Key Responsibilities:

  • Work closely with external lease management providers to guarantee that all data abstracted into our lease management system corresponds with the signed agreements.
  • Examine and authorize all monthly rental payments for over 300 individual lease contracts, including the ability to comprehend and clarify month-over-month variations.
  • Monitor, document, and pursue payments owed to the company from subleased properties.
  • Foster and maintain productive relationships with landlords and property tenants.
  • Collaborate with various internal departments as necessary to address rental and other landlord-tenant matters.
  • Address internal and external audit inquiries related to essential lease management controls, including reconciliations and rental batch approvals.
  • Conduct research to resolve inquiries, issues, or discrepancies raised by landlords, our external lease management provider, or other stakeholders.
  • Supervise the evaluation of annual landlord Common Area Maintenance (CAM) reconciliations prepared by the external lease management provider, ensuring timeliness and accountability in cases of property ownership changes.
  • Track changes in property ownership and acquire new ownership documentation to implement necessary updates in relevant Master Data systems.
  • Execute additional tasks or projects as required in the management of files and lease administration.

Qualifications:

  • 2 to 5 years of pertinent work experience, ideally in Lease Management.
  • A degree in Business Administration, Accounting, or a related business field is required.
  • Adept at managing multiple priorities in a dynamic, high-volume setting.
  • Proficient in advanced Microsoft Excel functionalities.
  • Exceptional attention to detail.
  • Strong organizational and multitasking skills (e.g., time management and efficiency).
  • Robust analytical abilities (e.g., identifying and investigating issues).
  • Excellent written, interpersonal, and communication skills.
  • Self-driven and results-oriented.
  • Competent in MS Office applications.
