Position Overview

Under the guidance of the Customer Service Manager, this role emphasizes logistical support for customer service initiatives and the formal quoting process for major account management while gaining insights into Made-to-Order (MTO) processes. The Client Project Coordinator I is responsible for maintaining operational procedures and delivering training in this domain. This position is crucial in ensuring that the Customer Service department meets or surpasses customer expectations by providing exemplary service.

Key Responsibilities
  • Engage professionally and effectively with both internal and external clients, particularly through phone and email, addressing inquiries related to lead times, pricing, and order status.
  • Accurately and promptly accept, input, and resolve customer orders and issues.
  • Comprehend all Network Solution offerings, including Standard and Made to Order products, and effectively communicate product details and company policies to clients (e.g., minimum billing, shipping timelines, returns, etc.).
  • Proactively initiate solutions and corrective measures for customer-related issues, such as data entry errors, delayed or incorrect shipments, and pricing discrepancies.
  • Assist in establishing shipping timelines that align with customer requirements. Gather and relay customer delivery expectations and expedite orders as necessary.
  • Request engineering assistance for new product development, communicate special manufacturing requirements, and facilitate material substitutions.
  • Manage the logistics of Material Returns and Credit transactions.
  • Compile and analyze data for various reports using Excel and Word.
  • Participate in cross-departmental meetings, offering a customer service perspective on product development, marketing strategies, safety protocols, etc.
  • Process invoices and billing adjustments in the relevant systems while managing order cancellations.
  • Support teams as required and assist the Strategic Account Team in logistics to ensure optimal customer satisfaction.
Qualifications

Essential:

  • Outstanding customer service abilities.
  • Effective communication skills via phone, fax, and email with both internal and external stakeholders.
  • Strong attention to detail and proficiency in handling mathematical calculations related to pricing and billing (e.g., discounts, commissions).
  • Capability to manage multiple tasks and maintain high productivity in a fast-paced environment.
  • Demonstrated ability to collaborate within a team setting.

Proficient in:

  • Excel and Word applications.
  • Presenting information and addressing inquiries from groups of managers, clients, and the general public.

Education & Experience
  • High School diploma or equivalent, with an Associate Degree preferred.
  • At least 1 year of customer service experience, ideally in a manufacturing context.
  • Experience in the Telecommunications or Datacom sectors, as well as familiarity with Made-to-Order processes, is preferred.
