Mortgage Document Specialist Job Description

The Mortgage Document Specialist plays a vital role in ensuring the accuracy and completeness of mortgage-related documentation. This position involves verifying, preparing, and managing all documents required for mortgage transactions.

Key Responsibilities:
  • Serve Texas Tech CU members and employees with professionalism and courtesy, adhering to the credit union's core values of Trust, Respect, Excellence, Kindness, and Stewardship.
  • Respond to business partner inquiries, requests, complaints, and concerns in a timely and effective manner, whether received in-person, online, text, or by telephone.
  • Commit to ongoing education and training, adapting to industry changes, regulatory requirements, updates, and trends.
  • Manage required documents for the loan file after the initial call with the member to contract receipt.
  • Send follow-up document requests via Ncino to members based on Loan Officers' need lists.
  • Prepare and organize mortgage loan files for processing, including collecting, reviewing, and validating necessary documents.
  • Maintain and update mortgage files, ensuring accurate recording and secure storage.
  • Manage follow-up reminders within Ncino for outstanding requested items.
  • Ensure all documents are successfully brought into Encompass and organized accurately within eFolder.
  • Manage Loan Officers' pipelines for prompt follow-ups and updating the last contact date.
  • Identify and resolve discrepancies or issues related to documentation, working with relevant parties for timely resolution.
  • Order documentation from third parties as needed, including VOE, VOD, Credit Supplements, and Payoff Requests.
  • Prepare files for Contract Specialists and complete all required items within the loan file before handing off.
  • Maintain positive communication with all stakeholders in a transaction, including Texas Tech CU members, employees, and interested third parties.
Requirements:
  • High school diploma or GED required.
  • Previous experience in EllieMae Encompass preferred.
  • 2+ years' experience in a mortgage lending role processing mortgage-related documentation.
  • Excellent attention to detail and organizational skills, with the ability to manage multiple tasks and deadlines effectively.
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
  • Experience working in a fast-paced team environment.
  • Ability to calculate income for W2 and Self-Employed Borrowers.
  • Superior customer service skills, with the ability to communicate real-time updates in a professional manner and manage expectations for members and business partners.
