Healthcare Reception Specialist

POSITION SUMMARY

The Medical Receptionist serves as the initial point of contact for patients at Charles Drew Health Center, embodying the role of the Director of First Impressions, both via phone and in-person interactions. The primary focus is to deliver outstanding customer service consistently. This role involves providing a high level of reception services to patients and staff in a supportive and positive manner.

KEY RESPONSIBILITIES

  • Exhibit exceptional customer service skills.
  • Demonstrate effective communication abilities and collaborate well with colleagues.
  • Manage appointment scheduling using the clinic's practice management software.
  • Ensure compliance with health center standards and appointment protocols.
  • Provide patients with clear information regarding appointment times and procedures.
  • Maintain an efficient scheduling process.
  • Be prepared to receive or make calls as per the schedule.
  • Possess a thorough understanding of healthcare services to assist patients effectively.
  • Greet and assist patients and visitors courteously and promptly.
  • Collect and document co-payments accurately, reconciling daily transactions.
  • Monitor patient no-shows and cancellations.
  • Achieve performance targets related to appointment creation and rescheduling.
  • Uphold confidentiality and approach sensitive topics with care.
  • Inform clients about services and associated fees.
  • Conduct thorough assessments to determine eligibility for various insurance programs.
  • Educate patients on their financial responsibilities and necessary documentation.
  • Utilize various information technology systems to support appointment processing.
  • Ensure patients are informed of follow-up requirements as indicated in the system.
  • Refer patients to internal providers for additional services as needed.
  • Adhere to all relevant policies and guidelines.
  • Participate in routine meetings and training sessions.

POSITION REQUIREMENTS

  • Education: High School Diploma required.
  • Experience: Minimum of three years in customer service, preferably in a healthcare setting.
  • Skills: Strong communication and organizational skills; familiarity with medical terminology is advantageous.
  • Language: Proficiency in English; knowledge of additional languages is a plus.
  • Work Hours: Full-time position with varying hours.

WORK ENVIRONMENT

Employees may encounter various environmental factors while performing their duties, including exposure to noise and other elements. Personal protective equipment will be provided to ensure safety.
