Position Summary
As a Patient Access Specialist, you will be the first point of contact for families and visitors, ensuring a welcoming and efficient experience. Your role will involve accurately managing patient information and collaborating with clinical staff to facilitate a seamless care process.

Key Responsibilities
  • Accurately register new patients, ensuring all demographic information is complete and up-to-date.
  • Check patients in and out, verifying and entering all necessary information into the system.
  • Collect and document required patient paperwork in accordance with established procedures.
  • Schedule appointments using the automated system, adhering to office protocols.
  • Maintain daily appointment templates under the guidance of the office manager.
  • Confirm future appointments with patients and verify demographic and insurance details.
  • Verify insurance eligibility and benefits at each visit using the established automated process.
  • Initiate the sign-up process for new or inactive patients.
  • Respond to appointment messaging within designated timeframes.
  • Prepare and manage patient charts, ensuring compliance with organizational protocols.
  • Collect co-pays and outstanding balances, accurately posting payments and preparing daily deposits.
  • Address patient inquiries regarding balances and direct them to billing as necessary.
  • Complete daily work queues to gather missing demographic and insurance information.
  • Support quality initiatives in patient care as directed.
  • Assist with various administrative tasks, including mail distribution and patient packet assembly.
  • Facilitate the handling of pharmaceutical representatives and vendors in line with office policy.
  • Maintain a clean and organized reception area and patient restrooms.
Qualifications
  • Education: High School Diploma or GED equivalent preferred.
  • Experience: Minimum one year of customer service experience preferred; one year in a healthcare or insurance setting preferred.
Skills Required
  • Strong communication, listening, and organizational skills.
  • Basic computer proficiency and familiarity with Microsoft operating systems.
  • Ability to perform arithmetic calculations and operate standard office equipment.
  • Knowledge of billing and insurance processes.
  • Familiarity with patient scheduling systems in a medical environment.
Certifications
  • BCLS - Basic Life Support certification through the American Heart Association preferred.
  • Medical interpretation certification may be required based on position.
  • Bilingual (English-Spanish) may be required for certain roles.
  • Willingness to travel to various locations as needed.
  • Availability to work flexible shifts, including evenings, weekends, and holidays as required.
