Key Responsibilities:

The selected candidate will be responsible for both reception and facilities support tasks.

Reception Responsibilities:
  • Manage moderate phone traffic and minimal in-person inquiries.
  • Handle multi-line phone systems, including transferring calls and taking messages.
  • Independently locate contact information on the company’s website.
  • Sort and manage incoming mail efficiently.
  • Prepare outgoing mail utilizing a user-friendly postage meter.
  • Update and maintain the building's phone directory using spreadsheet software.
  • Welcome visitors and guide them to the appropriate areas.
  • Monitor visitor badges and ensure proper tracking at the end of each day.
  • Perform printing, copying, and scanning tasks using multifunctional devices.
Facilities Support Responsibilities:
  • Receive and process deliveries from various carriers.
  • Update and manage signage using word processing software.
  • Prepare workspaces for staff visits.
  • Maintain an equipment inventory spreadsheet for touchdown locations.
  • Oversee the charging of lockers on a bi-weekly basis.
  • Manage personal protective equipment (PPE) supplies and distribute as necessary.
  • Restock disinfecting station supplies including wipes, sprays, and gloves.
Required Qualifications:
  • 5 years of experience in telephone operations.
  • 3 years of experience in customer service roles.
  • 1 year of experience in mail processing.
  • 1 year of demonstrated communication skills.
  • 2 years of data entry experience.
  • 6 months of capability to lift, carry, or push up to 30 lbs.
  • 1 year of experience in inventory management.
