Reception Responsibilities:

  • Manage a moderate volume of phone calls and minimal in-person inquiries.
  • Efficiently operate multi-line phone systems, including transferring calls and taking messages.
  • Independently locate contact information as required.
  • Sort and handle incoming mail efficiently.
  • Utilize USPS postage meter for outgoing mail processing.
  • Maintain and update the building's phone directory using spreadsheet software.
  • Welcome visitors and guide them to appropriate areas.
  • Track and manage visitor badges daily.
  • Perform printing, copying, and scanning tasks using multifunction devices.

Facilities Responsibilities:

  • Receive and log deliveries from various carriers.
  • Update and manage signage as needed.
  • Prepare workspaces for staff use.
  • Maintain an inventory spreadsheet of equipment.
  • Conduct bi-weekly checks on locker availability.
  • Oversee the distribution of personal protective equipment (PPE).
  • Restock cleaning supply stations as necessary.

Essential Qualifications:

  • Minimum of 5 years of experience in telephone operations.
  • At least 3 years of experience in customer service roles.
  • 1 year of experience in mail processing tasks.
  • Strong communication skills with a minimum of 1 year of experience.
  • 2 years of data entry experience.
  • Ability to lift, carry, or push up to 30 lbs for at least 6 months.
  • 1 year of experience in inventory management.
