Position Title: Event Coordinator

Overview: The Event Coordinator is responsible for the planning and execution of a variety of internal special events. This role involves professional work in the creation, management, and assessment of numerous internal and partner events.

Key Responsibilities:

  • Organize, coordinate, and execute special events, festivals, concerts, and related activities that cater to diverse community segments.
  • Develop and maintain the comprehensive internal event calendar, collaborating with relevant stakeholders.
  • Manage financial documentation, including revenue tracking, operational costs, and budget forecasts.
  • Negotiate and oversee contracts with service providers, such as sound systems, sanitation services, waste management, vendors, and insurance for events.
  • Foster and strengthen relationships with various organizations, non-profits, service clubs, and business partners.
  • Prepare and distribute marketing materials for internal special events in accordance with departmental guidelines.
  • Procure and manage inventory of supplies and equipment necessary for effective event management.
  • Recruit, train, and supervise part-time, temporary, and seasonal staff and volunteers.
  • Ensure compliance with all relevant regulations and ordinances.
  • Contribute to the development of strategic goals and objectives for the Recreation Division.

Qualifications:

  • Associate's Degree with two years of experience in municipal event management or a related field; Bachelor's Degree preferred.
  • Commitment to diversity, equity, and inclusion in all aspects of work.
  • Ability to work independently and manage multiple projects simultaneously.
  • Excellent communication skills, both verbal and written.
  • Knowledge of recreational services program administration and budgetary procedures.

Work Environment: The role requires flexibility to work evenings, weekends, and holidays, as well as the ability to adapt to various weather conditions.
