Job Summary

We are seeking a highly organized and detail-oriented Executive Assistant to join Platinum Maintenance Services. This role involves providing high-level administrative support for an executive, including preparing proposals, coordinating calendars, and communicating with clients.

Main Responsibilities:

  • Prepare and submit proposals based on sales estimates, including contract work, cash sales, and large projects.
  • Communicate with clients regarding proposed and accepted work, ensuring timely follow-up and resolution of issues.
  • Coordinate executive calendars using Outlook, ensuring seamless scheduling and coordination.
  • Develop and present proposals for large projects, utilizing Microsoft Word, Excel, and PowerPoint.
  • Monitor and track proposed and accepted work, generating reports as needed.
  • Collaborate with operations and sales teams to ensure successful project execution.
  • Manage certificates of insurance and process credit memos, maintaining accurate records and adherence to company policies.
  • Arrange travel and provide personal assistant duties, ensuring prompt response to management inquiries.

Requirements:

  • Minimum 2 years of experience as an executive secretary or administrative assistant.
  • Excellent organizational and communication skills, with ability to prioritize tasks and manage multiple projects.
  • Proficiency in Microsoft Office and Google Suite, with strong analytical and problem-solving skills.

Salary Range: The estimated salary for this role is $65,000 - $85,000 per year, depending on experience.
