Role OverviewWe are seeking an experienced High-Level Administrative Coordinator to join our team. The ideal candidate will have at least 5 years of administrative experience in a fast-paced environment, preferably in financial services, with strong organizational skills, the ability to prioritize tasks effectively, and excellent communication and problem-solving abilities.
Key Responsibilities:- Manage complex calendars, including scheduling internal/external meetings and calls, while proactively resolving conflicts
- Coordinate extensive meetings with efficiency and detail
- Communicate clearly to explain conflicts and need to re-prioritize
- Serve as a gatekeeper to executives, proactively managing schedules for best use of time
- Liaise with other administrative assistants to schedule collaborative meeting
- Provide back-up to other assistants when needed Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation
- Manage expense reporting and reimbursement processes, ensuring adherence to company policies
- Coordinate and support special projects and initiatives, collaborating with cross-functional teams
- Coordinate events, team meetings; off-sites/on-sites
- Perform ad hoc projects as needed
- 5 years of administrative assistance experience
- Proven ability to take initiative, determine priorities and exercise strong judgment
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
- Highly Proficient in Microsoft Office Suite - including Outlook, PowerPoint, Excel and Teams as well as WebEx or other video conferencing tools
- Experience with Concur or similar for travel and expense management
- Superior communication skills, both written and verbal
- Ability to take initiative and proactively close loops
- Handle highly sensitive and confidential information with discretion and professionalism
- Collaborative/teamwork attitude
Competitive annual salary range: $85,000 - $115,000 depending on location and experience
