Bilingual Administrative Support Specialist

Compensation: $16.38/HR or Annual Salary $34,070.40
Role Summary
The Office Technician will report directly to the Office Manager at COMHAR, Inc. This role is essential in executing a range of administrative and clerical functions to support the Latino Treatment Program. The Office Technician will engage in various office activities, including data management, filing, and telecommunication.
Key Responsibilities
- Manage professional phone interactions: handle incoming calls, relay messages, schedule appointments, and check voicemail.
- Adhere to scheduling protocols to coordinate prescribers and manage appointment adjustments.
- Deliver trauma-informed customer service with professionalism at all times.
- Conduct initial consumer contact, update consumer data in electronic health records (EHR), and assist with intake processes.
- Consistently verify consumer insurance eligibility.
- Organize and retrieve files as necessary.
- Check consumers in/out, distribute transportation passes, and secure required signatures.
- Support monitoring and reminders for staff and consumers to ensure treatment plans and medications are up-to-date.
- Facilitate communication for behavioral health services.
- Assist the medical records department as needed.
- Maintain professionalism in both independent and collaborative tasks.
- Perform other related duties as assigned by supervisors.
Qualifications
- Bilingual proficiency in Spanish and English.
- Strong mathematical aptitude.
- Exceptional verbal and written communication skills.
- Outstanding interpersonal and customer service abilities.
- Typing speed of 45–55 words per minute.
- Excellent organizational skills with keen attention to detail.
- Ability to read and write proficiently in both languages.
- Basic knowledge of clerical procedures, including recordkeeping and filing.
- Capability to work independently.
- Ability to apply common sense to follow written, oral, or diagrammatic instructions.
- Competence in resolving issues involving multiple concrete variables in standardized situations.
- Exhibit a positive and accommodating demeanor focused on customer satisfaction.
- Willingness to learn and adapt to new processes.
- Sound judgment in daily activities and problem management.
- Proficient in Microsoft Office Suite, email, EHR, and relevant technology.
- Commitment to delivering quality services to clients.
- Adherence to confidentiality policies and HIPAA regulations.
Physical Requirements
The physical demands outlined here are representative of those that must be met by an employee to successfully perform the essential functions of this role. Frequent use of hands for tasks such as handling or feeling is necessary, along with reaching with hands and arms. Occasionally, the employee may need to stand, walk, and lift/push/pull items weighing up to 25 lbs.
Education and Credentials
- High School Diploma (or GED) with a minimum of two (2) years of office experience or related field.
- Associate's Degree with at least two (2) years of office experience.
- Proficiency in Microsoft Office applications is required.
- Bilingual (English and Spanish) skills are mandatory.
- Basic understanding of accounting and personnel management principles.
- Valid clearances as per state requirements.
- Current certifications in CPR with AED & First Aid are required.
