Administrative Support Specialist

The Administrative Support Specialist - Unit Clerk plays a crucial role in supporting the daily operations of the unit under the supervision of the Unit Director. This position requires occasional flexibility to accommodate changing needs and demands. The ideal candidate will possess excellent interpersonal skills, working harmoniously with colleagues, staff, and other facility personnel at all times.
Key Responsibilities:
- Filing and maintaining accurate and up-to-date client records in accordance with ICF/MR requirements and regulations.
- Computing and maintaining ICF/MR staffing ratios for use by administration and outside agencies as needed.
- Maintaining assigned unit's virtual client folders, ensuring timely updates and accessibility of pertinent information.
- Providing administrative support, including typing for professional staff and receptionist duties.
- Serving as backup unit clerk to sister units, demonstrating adaptability and teamwork.
Essential Job Functions:
Core Duties:
- Attends work regularly and predictably, adhering to agency leave policies and performs additional tasks as assigned.
- Maintains organized and accurate filing systems, both physical and digital.
- Calculates and updates unit staffing ratios, ensuring compliance with regulatory standards.
- Informs supervisors of receipt of monthly assessment data and filing schedules from designated units and staff.
- Enters data into facility databases to track compliance with internal and external audits.
Required Skills and Qualifications:
Knowledge, Skills, and Abilities:
- Minimum one year of experience in office or related clerical work.
- Proficiency in typing, with a minimum speed of 35-40 words per minute.
- Working knowledge of routine office practices, procedures, and protocols.
- Excellent communication and interpersonal skills.
- Ability to understand and execute moderately complex instructions.
Estimated Salary: $45,000 - $55,000 per annum, based on qualifications and location.
