Your Role
The Customer Service Representative (CSR) serves as the primary liaison for our clients. The CSR is tasked with managing incoming orders via various channels, ensuring accurate entry into our systems, and conducting follow-up communications as necessary. This role demands exceptional communication skills to facilitate interactions between customers and internal departments, maintaining the highest standards of professionalism.
Your Responsibilities
- Process orders received through mail, fax, email, EDI, or telephone from customers or company personnel.
- Compile, sort, and verify the accuracy of data for entry.
- Review documents such as bills and shipping records, providing customers with unit prices, shipping timelines, and any additional information required.
- Input orders into the automated system and calculate total costs for customers.
- Maintain records of orders as requested.
- Coordinate with warehouse or shipping personnel to resolve issues related to missing or delayed shipments.
- Prepare various reports and compile statistics for management review.
- Investigate issues related to overdue or damaged shipments, ensuring timely updates to customers.
- Address billing or service complaints, directing unresolved issues to the appropriate departments.
- Provide backup support for other accounts as needed.
- Perform additional duties as assigned.
Your Skills and Experiences
- Minimum Education: High School Diploma or Equivalent.
- At least two years of experience in a customer service role.
- Familiarity with Windows-based order entry systems.
- Strong written and verbal communication abilities.
- Intermediate proficiency in Microsoft Word and Excel.
- Basic computer skills.
- Experience with SAP or Warehouse Management Systems (WMS) is highly desirable.
- Proactive in following up on pending issues and orders.
- Strong problem-solving capabilities.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Fluency in English is required.
- Willingness to work overtime and weekends as necessary.
