Job Summary

The City of Chesapeake seeks a highly skilled and experienced Administrative Support Supervisor to join our team in the Circuit Court. As an Assistant Supervisor, Clerk of Circuit Court, you will play a critical role in supporting the Criminal Division Supervisor in achieving short and long-term division goals.

Key Responsibilities
  • Supervise and manage a team of subordinate staff, providing training, assigning, and evaluating work, as well as coaching and counseling to develop staff skills.
  • Write and conduct employee performance reviews, ensuring that staff are meeting performance expectations.
  • Ensure the day-to-day operations of the Criminal Division run smoothly, including supervising the preparation and maintenance of criminal records and files.
  • Oversee and prepare courtroom assignments, motions, trials, and grand jury proceedings, as well as prepare the Daily Docket.
  • Serve as evidence room custodian, ensuring the accurate recording of evidence status and return of documents, charts, pictures, photographs, records, and other evidence.
  • Administer CR45 (DNA report) and fingerprints for the CCRE interstate police reports on Mondays.
  • Track and report via CR18 (concluded cases) on a daily basis, following up with courtroom clerks as necessary.
  • Complete CR32 monthly reports of all closed cases, maintain the Empty Index Report, and review and provide fiscal data for the annual budget.
  • Responsible for auditing, processing, and submitting jail cards to the Sheriff on a daily basis, as well as reviewing and monitoring expenditures and invoices for accuracy.
  • Assist with development and delivery of training materials, assist in development and enforcement of policies/procedures, and supervise with development and technical training materials.
  • Assist with inventory maintenance, including ordering supplies and monitoring invoices, and attend and/or conduct staff meetings and attend conferences/training seminars to improve professional skills.
  • Prepare and maintain operating budget for assigned area, monitor expenditures, and responsible for Kronos criminal division time sheet.
  • Screen incoming telephone calls and visitors, providing information, resolving criminal problems/issues, directing calls, emails, and visitors to appropriate personnel.
Requirements
  • Requires any combination of education and experience equivalent to a bachelor's degree in business administration, public administration, or a closely related field.
  • Minimum of three years of related, full-time equivalent experience in administrative support and supervision.
  • Must complete Financial Accounting System (FAS), Circuit Case Management System (CCMS) and Circuit Imaging System (CIS6) training by the state within one month of hire.
  • Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term departmental needs and/or City-wide emergencies.
Preferred Qualifications
  • Prior supervisory experience, previous experience working with judges a plus.
  • Must have circuit court experience or transferrable skills and knowledge from the lower courts, (minimum of 5 years).
  • Experience should include but not limited to: courtroom experience, processing of appeals, DARS, supreme court, general district court, juvenile and domestic relations court.
  • Must be familiar with criminal and civil procedures, and able to process motions, orders, new suits, etc.
  • Communicate professionally to all customers, i.e. judges, commonwealth's attorney, attorneys, public safety officials, law enforcement, probation officers, magistrates, and public at large.
  • Has the ability to accurately perform and pay attention to details.
  • Proficient in all Microsoft and Excel Technology.
  • Ability to draft legal documents.
  • Accurately able to multi-task at a high volume.
  • Experienced in handling confidential paperwork.
  • Exceptional customer-relations background.
