Job Title: Service Coordinator - National Accounts

Job Overview: The Service Coordinator will ensure seamless communication between Customers, Technicians, and internal teams regarding all aspects of Service Operations and National Accounts. This includes managing incoming service requests, scheduling technicians, processing purchase orders, generating quotes, and maintaining service history records.

Key Responsibilities:

General Service Operations Duties:
  • Document service requests and capture all relevant details, including Customer and Site information, Caller Name, Caller Phone Number, Problem Code, Description of Issue, and Maintenance Contract Number when applicable.
  • Coordinate the scheduling and dispatching of service calls in alignment with company standards for response times and maintenance obligations.
  • Review previous service records to avoid duplicate entries and understand ongoing jobsite activities. Assess the urgency of service requests and note any special instructions from site files.
  • Timely dispatch of technicians to reduce downtime and optimize service efficiency.
  • Maintain up-to-date daily and weekly schedules in the CMS for technicians, ensuring the dispatch board reflects current operations.
  • Oversee preventive maintenance inspections to confirm compliance with maintenance agreements and allocated hours.
  • Verify technician time and cost codes upon job completion.
  • Support service technicians with repair estimates, including parts availability and customer quotes.
  • Manage two-person job assignments to ensure adequate manpower is utilized when necessary.
  • Provide weekly reports to the Service Supervisor regarding open Time & Material jobs, Quotes, and Preventive Maintenance tasks.
  • Perform emergency dispatch duties on a rotating schedule during nights and weekends.
Specific Responsibilities for National Accounts:
  • Assist in preparing quotes by converting estimates into the designated National estimate template and drafting formal proposals for submission.
  • Support new contract requests and Contract Change Directive (CCD) processes.
  • Facilitate project closeouts by ensuring all documentation meets the specific requirements of each account.
  • Assist with asset management reviews, including details such as make, model, serial number, year, refrigerant type, and tonnage.
  • Coordinate subcontractor work, including No To Exceed updates, generating Sub-Contract Purchase Orders, and managing payment submissions.
  • Perform additional duties related to National Accounts as required.
Qualifications:
  • Three to five years of experience in dispatching for a Mechanical Contractor is preferred.
  • Familiarity with standard Contract/Agreement terminology.
  • Experience with Computer Maintenance Systems, particularly Coins ERP+, is advantageous.
  • Proficient in Microsoft Office Suite 365 (Word, Excel, PowerPoint, Teams, Smartsheet, SharePoint).
  • Able to thrive in a fast-paced team environment.
Standard Working Hours: Monday to Friday, 8:00 am to 5:00 pm.
