Position: Conference Operations Coordinator

Role Summary:

The Conference Operations team oversees collaborative meeting and event spaces across multiple markets. Our clientele includes corporate team members and nonprofit organizations.

Key Responsibilities:

  • Manage and schedule reservation requests, ensuring room availability through the reservation system.
  • Respond to and process all incoming requests specific to the conference site.
  • Provide consultative event coordination services as needed.
  • Ensure proper room setups and configurations.
  • Assist with setup and cleanup for catering services as required.
  • Facilitate customer access to facilities and resources.
  • Maintain daily and weekly scheduling boards and digital signage.
  • Educate clients on available resources and tools.
  • Process requests for lab reservations.
  • Handle incoming materials and ensure proper delivery to meeting rooms.
  • Identify and report maintenance issues, submitting work orders promptly.
  • Compile and distribute customer feedback surveys.
  • Develop and sustain relationships with vendors and service providers.
  • Deliver consistent customer service across all locations.
  • Analyze operational metrics to identify opportunities for improvement.
  • Organize community and customer events within the conference spaces.
  • Enhance business operations by understanding local needs and building relationships.
  • Lead or contribute to projects and initiatives as necessary.
  • Oversee incoming customer requests and manage communications effectively.
  • Adjust reservations as needed based on customer feedback.

Preferred Qualifications:

  • Minimum of 2 years of experience in project management or event coordination.
  • Exceptional customer service and communication skills.
  • Proficient in Microsoft Office Suite.
  • Experience in technical or audiovisual environments.
  • Ability to work independently and prioritize tasks effectively.
  • Adaptable to changing circumstances and customer needs.
  • Physical capability to remain mobile throughout the workday.
  • Willingness to work flexible hours, including evenings and weekends.
  • Ability to lift up to 50 pounds.
  • Experience with reservation software platforms.
  • Background in catering or food service is a plus.
  • Experience in communications, event planning, or hospitality is desirable.
