Position Overview:

The Connections team oversees collaborative meeting and event spaces across multiple markets in the United States. Our clientele includes team members from various organizations and nonprofit entities.

Key Responsibilities:

  • Manage and coordinate reservation requests; maintain room schedules through the reservation system.
  • Respond to and process all incoming requests specific to the Connections site.
  • Provide consultative event coordination services to clients as needed.
  • Ensure room setups are accurate and meet client specifications.
  • Assist with setup and cleanup for catering services as required.
  • Facilitate customer access to facilities using designated online tools.
  • Maintain daily and weekly schedule boards and digital signage displays.
  • Educate clients on available resources (e.g., Space Finder, approved caterers).
  • Process requests for lab reservations as needed.
  • Receive and manage shipped materials; ensure timely delivery to designated meeting rooms.
  • Identify and report building repairs; submit work orders promptly.
  • Compile and distribute customer surveys using designated online tools.
  • Develop and maintain relationships with vendors and service providers.
  • Deliver consistent customer interactions across all locations by implementing standardized processes.
  • Review operational metrics monthly to identify opportunities for improvement.
  • Drive community and customer events within Connections spaces.
  • Enhance business and space utilization by understanding local needs and building relationships with key partners.
  • May lead or provide expertise for projects and initiatives.
  • Oversee all incoming customer requests.
  • Manage customer request emails sent to the shared mailbox.
  • Modify reservations as necessary based on customer feedback.

Preferred Qualifications:

  • Minimum of 2 years of experience in project management and coordination.
  • Exceptional customer service skills.
  • Strong verbal and written communication abilities.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience in a technical or audiovisual environment.
  • Able to work independently and prioritize effectively.
  • Adaptable to change and flexible in providing customer support.
  • Ability to remain mobile throughout the workday.
  • Willingness to work a flexible schedule, including evenings and weekends.
  • Must be able to lift up to 50 pounds.
  • Experience with reservation software platforms.
  • Background in catering or food service is a plus.
  • Experience in communications, event planning, or hospitality is preferred.
