Job Summary

The Accounting and Admin Assistant plays a vital role in ensuring the smooth operation of our office and supporting business activities that align with United Solutions' mission. This position involves handling confidential and secure information, as well as company intellectual property, and requires adherence to the company's information security policies, standards, and procedures.

Key Responsibilities

General Duties

  • Collaborate with various departments to provide prompt and efficient client service.
  • Arrange travel schedules and make reservations for the management team as needed.
  • Conduct routine correspondence with clients and vendors.
  • Provide administrative support to the Board of Directors and President/CEO as requested.
  • Order supplies for all departments as needed.
  • Process all mail for the company.
  • Occasionally use a personal vehicle to pick up supplies and local orders.
  • Perform other duties as assigned and support all areas of the company and its affiliates.

Accounting Functions

  • Assist the Controller with the billing process for United Solutions' clients, including gathering data, verifying information, posting invoices, and mailing/emailing documentation.
  • Monitor aged receivables and prepare notices for clients with delinquent accounts.
  • Receive and post deposits, reconcile cash accounts, and submit cash reports to the Controller weekly.
  • Submit required documents to the Imaging Department for optical upload.
  • Accurately prepare, input, pay, and file accounts payable checks with proper authorization.
  • Maintain ongoing communication with the Controller regarding problems, irregularities, new developments, changes, and other important information within the area of responsibility.
Requirements

Education and Experience

  • A two-year associate's degree.
  • Plus two years of experience in accounting.
  • Combination of education and similar experience may be substituted.
  • Experience working in payroll is a plus.

Skills and Abilities

  • Effective interpersonal skills.
  • Listening, oral, and written communication skills.
  • Ability to perform each essential duty satisfactorily.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to effectively present information in one-on-one and small group situations.
  • Ability to keep information confidential – a high degree of trust and discretion is required.

Technical Requirements

  • Microsoft Suite – Outlook/Excel/Word.
  • Printer/Scanner/Fax.
  • Multi-line Telephone.
  • Accounting software.

Physical and Environmental Demands

  • The employee is frequently required to sit, stand, and walk. Occasionally required to push, climb, balance, stoop, kneel, crouch, crawl, and reach for objects. Has the ability to lift or move objects weighing up to 20 pounds.
  • The employee must frequently receive auditory information by listening in person and/or by phone.
  • The employee must frequently express or exchange ideas in person or via phone to impart oral information to individuals or groups.
  • Specific vision abilities required by this job include close vision, distance vision, depth perception, visual accommodation, color vision, and field of vision.
