Position Overview
The Facilities Operations Supervisor will report directly to the Director of Development, Facilities & Real Estate. This pivotal role is essential in ensuring the operational excellence of Mosaic's network of high-quality therapy clinics. The Supervisor will liaise with clinical leaders and external vendors, serving as the on-site representative to uphold Mosaic's esteemed reputation in pediatric therapy.
Key Responsibilities
- Serve as a subject matter expert in the ongoing management of Mosaic's facilities portfolio.
- Collaborate with the head of real estate to develop and implement an effective facility management strategy, incorporating necessary systems, processes, and technologies.
- Build and sustain strong partnerships with landlords, property managers, and third-party service providers.
- Establish and oversee relationships with key facility service contracts, including janitorial, landscaping, pest control, HVAC, and utilities.
- Manage requests from business leaders through the facilities ticketing system, coordinating efforts to resolve issues and complete necessary repairs.
- Conduct monthly reviews of facilities budgets and expenditures, approving budgets for additional service requests beyond standard contracts.
- Ensure compliance with fire and life safety regulations and local codes through a thorough clinic audit system.
- Maintain a safe and efficient environment across all clinics.
- Regularly visit clinics to assess conditions and ensure compliance with established standards.
- Oversee the Facilities Coordinator and provide consistent reporting to leadership regarding operational efficiencies and areas needing attention.
Qualifications
- Exceptional organizational, problem-solving, and analytical skills.
- Strong interpersonal abilities, with effective oral and written communication skills.
- Proficient in time management and organizational strategies.
- Associate's Degree or equivalent experience.
- A minimum of 5 years in commercial real estate and/or facilities management, preferably in a healthcare setting.
- Familiarity with OSHA regulations.
- Experience managing a multi-site, leased facilities portfolio.
- Capability to lead complex projects in a dynamic environment.
- Willingness to travel as needed to serve as an on-site representative.
- Ability to foster and maintain effective working relationships with both internal and external stakeholders.
- Advanced proficiency in Microsoft Office applications.
