Job SummaryAs an Administrative Coordinator at XTalk Prep Consultants, you will play a vital role in managing the front desk and ensuring a positive first impression for clients and visitors. Your responsibilities will include answering calls, greeting visitors, handling correspondence, and performing various administrative tasks to support the daily operations of the office.
Key Responsibilities
  • Provide exceptional customer service by greeting and welcoming clients and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls to the appropriate personnel, ensuring timely and efficient communication.
  • Manage the scheduling of appointments and maintain an organized front desk area, ensuring seamless day-to-day operations.
  • Handle incoming and outgoing mail and packages, maintaining a high level of organization and attention to detail.
  • Maintain office supplies and inventory, placing orders as needed to ensure a well-stocked and efficient workspace.
  • Assist with basic administrative tasks, including data entry and filing, to support the team's productivity and efficiency.
  • Provide support to other departments as needed, demonstrating a team-oriented and collaborative approach.

Requirements
  • High school diploma or equivalent; additional education or certification is a plus.
  • Proven experience as a receptionist or in a similar administrative role, with a strong track record of providing exceptional customer service.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
  • Strong organizational and multitasking abilities, with the capacity to prioritize tasks and manage multiple responsibilities.
  • Proficient in Microsoft Office Suite and basic office equipment, with a willingness to learn and adapt to new technologies.
  • Ability to work independently and as part of a team, with a positive attitude and a strong commitment to customer service.
