Overview

Under the guidance of senior management, this role is responsible for overseeing the operational services of the office facilities as well as managing the fleet, records, mail, and printing services across the organization.

Key Responsibilities

The essential functions of this position include, but are not limited to: Supervising both in-house staff and contracted personnel in the maintenance and operation of the office facilities. Developing and managing contracts to ensure cost-effective maintenance and operation of office environments. Ensuring compliance with all relevant laws, regulations, and policies pertaining to office facility operations. Overseeing the computerized maintenance management system for the office facilities. Establishing and enforcing maintenance protocols and creating a long-term project plan for capital improvements, including financial analysis. Preparing and managing the budget for the Facilities Unit, including vehicle replacement strategies. Directing the fleet management initiatives; formulating and implementing policies regarding the maintenance and use of the organization's vehicle fleet; approving repair and maintenance work; analyzing fleet costs, including transitioning to electric vehicles. Coordinating record retention processes and serving as the Records Supervisor, ensuring adherence to the Local Records Act. Managing garage operations at the main office. Overseeing print shop activities through subordinate supervisors. Supervising mailroom and telephone switchboard functions. Assigning, monitoring, and reviewing work; enforcing organizational policies; conducting performance evaluations; assisting in resolving employee issues; making recommendations regarding employment actions such as hiring, transfers, promotions, or terminations.

Additional Responsibilities

Managing organization-wide vending machine contracts. Overseeing shared-space agreements. Performing other related duties as assigned.

Work Environment

Typical office setting. Proficiency in using standard office equipment and computer systems is essential.

Required Knowledge, Skills, and Abilities

- Comprehensive understanding of HVAC systems, fire safety systems, and other building operations. - In-depth knowledge of capital project planning and financial management. - Strong expertise in contract management. - Significant knowledge of office management principles and practices. - Proficient in effective supervisory methods. - Familiarity with fleet management principles. - Understanding of records management practices. - Ability to design, implement, and manage comprehensive office service programs. - Strong organizational skills to coordinate work effectively and meet deadlines. - Capability to prepare and manage budgets. - Excellent verbal and written communication skills.

Minimum Qualifications

A bachelor's degree from an accredited institution in business or public administration, engineering, or a related field, along with five years of experience in facilities management, including two years in a supervisory role.
