Position Overview

The Accounts Payable Specialist plays a crucial role in managing all communications related to vendor and internal customer transactions. This position is responsible for the accurate entry and documentation of all financial transactions associated with purchases from external suppliers as well as internal departmental needs.

Key Responsibilities

  • Oversee and respond to inquiries in the shared accounts payable email inbox.
  • Process vendor invoices and ensure accurate recording in the financial management system.
  • Investigate and resolve customer inquiries and issues promptly.
  • Conduct reconciliations of customer accounts.
  • Manage W9 and vendor documentation.
  • Prepare weekly accounts payable aging reports.
  • Perform general ledger postings and manage 1099 filings.
  • Utilize QuickBooks Enterprise for entries, reporting, and financial statements.
  • Assist with various accounting functions as required by management.
  • Maintain a strong customer service orientation while interacting with customers, sales teams, and leadership.

Qualifications

  • 3 to 5 years of experience in accounts payable, receivable, credit collections, or bookkeeping.
  • Preferred degree in Business or Accounting.
  • Strong verbal and written communication skills with the ability to train others.
  • Excellent problem-solving skills and a keen attention to detail.
  • Proficient in MS Office and Google Suite; strong computer skills are essential.
  • Experience with automated accounting software, particularly QuickBooks, is mandatory.
  • A proactive approach to learning and professional growth.
  • A collaborative team player willing to assist colleagues as needed.
