The Practice Assistant position comes with a $1,500 sign-on bonus.

Important Details:
Bonuses are distributed in $500 increments at 30 days, 6 months, and at the 1-year mark.

Eligibility requires you to be a non-Herrick House employee or a previous eligible employee returning after a year.

Employees must be in good standing to receive the bonus at the time of payment. All bonuses are subject to applicable taxes and this program may change at any time.

Job Summary:

Reports to either the Practice Manager or Ambulatory Practice Coordinator, with input from assigned physicians, nurses, or other healthcare professionals.

Responsible for providing exceptional service to patients while ensuring efficient practice operations.

Job Description:

Essential Responsibilities:
Welcomes patients and visitors with courtesy, service, respect, and confidentiality. Acts as a central communication hub in patient care delivery by being responsive, accessible, and visible. Takes appropriate actions to resolve challenging situations. Collects complete and accurate information from patients and callers while maintaining confidentiality.
Handles check-in, registration, scheduling, and verification of demographic information in accordance with organizational policies and procedures. Utilizes computer systems to register patients and ensure the accuracy of demographic and financial data. Schedules, reschedules, and cancels appointments while accommodating patient and provider needs. Obtains and enters referrals and collects co-pays.
Monitors and assists patients and visitors entering and exiting the practice. Facilitates timely patient flow and proactively addresses flow issues (e.g., early or late patients, late providers). Serves as a liaison between patients and practice staff to ensure optimal service delivery.
Maintains a clean and welcoming reception area. Ensures clarity of information displayed in the reception area and monitors audio or visual content for appropriate programming and volume levels to create a calming environment. Contacts relevant departments for repairs or services as needed and follows through.
Ensures translation services are available for Spanish-speaking patients and employees when necessary.

Required Qualifications:
High School diploma or GED required.

Preferred Certification:
Medical Administrative Assistant Certification.
1-3 years of relevant work experience required.
Fluency in English and Spanish, ensuring accurate interpretation and translation, along with knowledge of medical terminology.

Experience with computer systems is essential, including web-based applications and some Microsoft Office applications such as Outlook, Word, Excel, PowerPoint, or Access.

Ability to interact respectfully with colleagues, professional staff, and external contacts to share ideas, identify issues, gather information, or deliver services.


Customer Service:

Ability to provide a high level of customer service to patients, visitors, staff, and external customers in a professional, service-oriented, respectful manner, utilizing skills in active listening and problem-solving.

Ability to remain calm in stressful situations.

Physical Nature of the Job:

Sedentary work:
Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, or pulling objects. Sitting most of the time, with walking and standing required only occasionally.
