Job Summary:

The Administrative Specialist - High-Level Support will provide exceptional administrative support to the Director and Deputies, ensuring seamless day-to-day operations and mission-critical tasks are completed efficiently. This role requires a highly organized and detail-oriented individual with excellent communication skills and the ability to work independently with minimal supervision.

Key Responsibilities:

  • Manage calendars, schedules, and appointments for the Director and Deputies
  • Screen and gatekeep incoming requests, data, and emails, prioritizing tasks and notifications
  • Provide travel support, including booking flights, hotels, and arranging transportation
  • Manage office supplies, inventory, and ordering
  • Assist with onboarding and offboarding activities, including recall roster updates and access requests
  • Compile and send responses to actions on behalf of the office
  • Record minutes and disseminate actions at meetings
  • Coordinate meetings, events, and conferences, including room reservations and catering
  • Develop and maintain relationships with internal and external stakeholders, including vendors and customers
  • Perform other administrative tasks as needed to support the Director and Deputies

Requirements:

  • Active TS/SCI with Polygraph clearance
  • HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint
  • Excellent communication and organizational skills
  • Ability to work independently with minimal supervision
  • Strong attention to detail and ability to prioritize tasks
