Position Overview

The Commercial Property Operations Coordinator plays a vital role in assisting the Commercial Property Management Team, which typically oversees approximately 4-6 commercial properties. These properties may encompass a variety of spaces, including office buildings, retail areas, parking facilities, and industrial sites.

Key Responsibilities

  • Handle sensitive information with utmost confidentiality.
  • Prepare reports, presentations, and other essential documents.
  • Act as a liaison to tenants, ensuring high-quality service delivery.
  • Coordinate tenant relations and activities.
  • Manage tenant move-ins and move-outs efficiently.
  • Disseminate important information to tenants, team members, and contractors.
  • Maintain organized tenant and vendor files.
  • Assist in managing service contracts and preparing purchase orders.
  • Receive and track work order requests, maintaining logs and reports.
  • Oversee on-site security and janitorial teams as needed.
  • Prepare tenant billing documents, including rent letters and invoices.
  • Schedule meetings and coordinate conference room reservations.
  • Create tenant and vendor access badges and manage loading dock requests.
  • Monitor inventory and order necessary supplies.
  • Ensure all tenants and vendors have valid insurance certificates on file.
  • Manage shared electronic files and documentation.
  • Coordinate daily assignments for support staff.
  • Organize board meetings, including agendas and presentations.
  • Receive and process invoices accurately.
  • Perform additional duties as assigned.

Qualifications

  • High school diploma or GED required; vocational degree preferred.
  • Associates or bachelor's degree and/or relevant technical experience preferred.
  • Minimum of 1 year of office administration experience required.
  • At least 2 years of experience in client-facing roles required.
