Administrative Assistant Job Description

We are partnering with a dynamic real estate and property management firm in Pinellas county to find an experienced Administrative Assistant to support their team. This firm is experiencing rapid growth and requires a solutions-focused and detail-oriented individual to provide administrative support to their team of Property Managers.

Key Responsibilities:

  • Provide coverage for Receptionist duties as needed.
  • Offer administrative support to Property Managers and ensure efficient processing of tasks for each community.
  • Answer, forward, and screen phone calls, schedule meetings, and support visitors.
  • Perform administrative duties such as filing, typing, copying, scanning, etc.
  • Respond to owner's, vendor's or Board Member's inquiries and requests.
  • Process sale and lease applications.
  • Keep community owner and tenant database up to date in management software.
  • Process violation letters.
  • Scan and file documents (meeting packets, owner info sheets, notices, etc.).
  • Maintain electronic file system by keeping it organized and current.
  • Draft annual meeting notices and complete mailing affidavits.
  • Take lead on insurance renewals.
  • Keep association forms and welcome packets updated.
  • Send welcome packets to Realtors with new listings.
  • Manage owner portals and keep information updated.

Requirements:

  • High school diploma or equivalent.
  • Three or more years of administrative experience.
  • Proficient with Microsoft Office Suite (Word, PowerPoint, and Excel).
  • High degree of accuracy and attention to detail.
  • Excellent time management and written and verbal communication skills.
  • Highly organized multitasker who works well in a fast-paced environment.
  • Consistent, professional dress, and manner.
  • Willingness to learn and to grow with the company.
  • Able to contribute positively as part of a team, helping with various tasks as required.

Work Schedule and Benefits:

Monday to Friday, 8:30am to 5:30pm. Salary: $38,000 to $45,000 annually with benefits package, PTO, and more.
