About the Role:

The Department of Materials Science & Engineering at InsideHigherEd is seeking a highly skilled Financial Associate to join our team. As a key member of our administrative staff, you will provide financial, human resources, and administrative support to our Business Manager and other team members.

Key Responsibilities:

  • Perform financial, human resources, and administrative functions of the unit, including financial transactions, human resources processes, and administrative tasks.
  • Represent the unit in a professional manner, often working with individuals and organizations external to the university.
  • Provide guidance for internal transfer transactions, manage effort certification processes, and evaluate future payroll costs for sponsored projects.
  • Work directly with the Office of Sponsored Projects and Financial Management Compliance for pre and post award management.
  • Prepare data analysis for financial, academic, and HR transactions.
  • Serve as the hiring manager and ensure the processing and approval of all personnel hiring documents.
  • Ensure and facilitate proper I-9 compliance and renewals for visas.
  • Occasionally assist with departmental events, oversee payroll reconciliation, and assist with managing faculty/staff searches as well as faculty development leave and promotion & tenure.

Requirements:

  • A high school diploma or GED with 4 or more years of experience in accounting and/or HR experience or an Associate's degree in a field related to business, HR Management, or a degree related to the position's duties with 2 or more years of accounting and/or HR experience.
  • Knowledge of basic accounting principles.
  • Excellent communication, customer service, and organization skills.
  • Ability to multi-task and work independently.
  • Ability to prioritize a heavy workload.
  • Excellent organizational and time-management skills.
  • Ability to multi-task and prioritize tasks based on needs of others and with time-sensitive deadlines.
  • Ability to work autonomously as well as within a team environment.
  • Sound interpersonal and communication skills.
  • Working knowledge of Microsoft Office.

Preferred Qualifications:

  • Bachelor's degree in a field related to business, HR Management, or a degree related to the position's duties with any accounting and/or HR experience.
  • Experience in an academic environment.
  • Experience hiring foreign nationals and communicating with non-native English speakers.
  • Human resources specific experience related to recruiting, hiring, or employee relations.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of State and federal contract and grant financial requirements.
  • Working knowledge of UT fiscal and HR policies and procedures.
  • Knowledge of financial/personnel management applications such as SAP/IRIS.
  • Knowledge of personnel maintenance processes incl. hiring, I-9 e-verification, and USCIS (visa) processes.
