POSITION OVERVIEW:
The primary objective of this role is to support the Pediatric, Rheumatology, and School-Based Health Center teams. Under the guidance of the Specialties Clinic Manager, the Clinical Operations Supervisor (COS) is responsible for overseeing the daily functions of clinic personnel, including back-office medical staff and providers across the Pediatrics, Rheumatology, and School-Based Health Center departments.
KEY RESPONSIBILITIES:
- Organize staff work schedules, manage time-off requests, process timesheets, and monitor attendance.
- Collaborate with the Clinic Manager and Director to ensure adequate staffing in all departments.
- Facilitate training and support for staff development as needed.
- Address patient concerns and serve as a liaison between departments to ensure effective resolution of service and administrative issues.
- Implement departmental policies and educate staff and patients on their implications.
- Engage regularly with patients and staff to assess needs and satisfaction with services provided.
- Conduct regular meetings with staff and providers as necessary.
- Participate in quality improvement initiatives and oversee the implementation, evaluation, and maintenance of quality improvement activities for the clinic.
- Ensure the appropriate levels of supplies are maintained and organized.
- Perform clinical duties as assigned, which may include taking and recording vital signs, administering medications, encounter scribing, and providing direct patient care.
- Other responsibilities as assigned.
QUALIFICATIONS:
- Associate degree in business or four years of relevant experience in a medical office setting with strong supervisory and managerial skills.
- Current licensure in Oregon as a Licensed Practical Nurse or national certification as a Medical Assistant in accordance with Aviva Health requirements.
- Ability to collaborate with the Specialties Clinic Manager, Director, and clinic providers to establish, define, and refine departmental goals and objectives aligned with the clinic's mission, demonstrating satisfactory progress toward these goals.
