ROLE SUMMARY:
Under the guidance of the Patient Services II Supervisor or FM Clinic Manager, the Patient Services Representative II (PSR II) follows established protocols to schedule patient appointments, prepare necessary documentation, and assist in delivering care to patients as required. This role ensures a smooth and efficient patient flow during scheduled clinic hours through collaborative planning and problem-solving with clinic staff and volunteers. The ability to manage multiple tasks effectively while maintaining a high level of accuracy is essential.
KEY RESPONSIBILITIES:
- Collaborates with the immediate supervisor to set, define, and refine departmental goals and objectives in alignment with Aviva Health's mission, demonstrating satisfactory progress towards these targets.

- Exhibits the capacity to make informed decisions based on reliable and measurable data.
- Fosters positive customer relations and shows respect and sensitivity to cultural and social differences in interactions.
- Completes assigned tasks promptly and efficiently.

- Registers patients upon arrival; completes all required documentation; assists patients with paperwork to ensure completion as needed.
- Evaluates new patients for eligibility, gathers all financial and demographic information, and prepares patient charts. Photocopies insurance or other third-party payer details.
- Prepares patient charts for appointments, verifies demographic and financial information, including confirming ongoing eligibility with patients during check-in. Updates patient records and computer files.
- Handles all incoming calls courteously, takes messages or directs calls to the appropriate personnel, and maintains regular communication with patients on hold to ensure they feel acknowledged.
- Responsible for scheduling patient appointments.
- Calculates individual patient charges for services; collects payments and/or explains the payment process.
- Records fee receipts in the practice management system.
- Completes typing tasks, including clinic letters and forms as requested.
- Performs a variety of general office tasks necessary for the smooth operation of the clinic.
- Participates in in-service training and other mandatory meetings.
- Maintains strict confidentiality at all times.
QUALIFICATIONS:
- High school diploma or equivalent education.
- Knowledge of Practice Management and Electronic Medical Records is essential.
- Familiarity with collection procedures and relevant laws is preferred.
- Typing speed of 40 words per minute and proficiency in operating a 10-key adding machine by touch.
- One (1) year of clerical experience in a customer-facing role is required.
- One (1) year of clerical experience in a clinical or healthcare setting is preferred.
- Familiarity with medical terminology and anatomy is essential. Demonstrated knowledge of office practices and procedures.
- Ability to care for and handle patients across all demographics, considering the unique needs and behaviors of each group.
- Employs tact, diplomacy, and kindness in interactions with all individuals.
- Strong interpersonal skills to engage effectively with the public and colleagues.
- Must maintain strict confidentiality at all times.
